A large share of support tickets are location questions: where is the setting, which button, what does this field mean. The written answer takes three sentences and is still misread; a screenshot with one box on it is understood at a glance.
The teams that do this well have made it cheap. Capture, mark, send, in the time it takes to type the sentence.
Open the page the customer is on, in your own test account. Press Screenshot, drag around the relevant region -- not the whole screen, the region -- box the control, add a three-word label if it needs one, download or copy, paste into the reply. Try the free screenshot tool.
Because the capture comes from a test account, nothing needs blurring. Because it is an area capture, the customer sees the part of the interface that matters, at a size they can read.
The same six screenshots answer a third of the tickets. Keep them in a shared folder or in the help centre, so the answer is a paste rather than a capture. The moment the interface changes, retake those six and nothing else.
Any answer that starts "first go to, then click, then" is a walkthrough. Three annotated screenshots in a reply is the slow version of it. Record the sequence once as an interactive demo -- the customer clicks through the real screens -- and paste the link into every ticket that asks. Demorta’s extension does both; the screenshot button is next to the record button.
Click through it — the same kind of demo you can record of your own product.
