When Discovery Calls Are Eating Your Week

August 28, 2026

A discovery call has one genuinely valuable part: understanding a specific situation you could not have guessed. Everything around it — explaining who you are, how you work, what you charge, what the process looks like — is identical every time.

For an agency where the person taking calls is also the person delivering, that repetition is the whole capacity problem.

The kind of thing you send before a call so the call is about them — click through it.

Split the call into two halves

Write down what happened on your last five discovery calls. It will divide cleanly into things you said and things you learned.

The things you said are identical every time and can be sent. The things you learned are why the call exists. Almost nobody separates these, so the valuable half gets whatever time is left after the recital.

Send the repeated half beforehand

  • How you work -- your process, stages, and what happens when.
  • What you have done before, shown rather than described.
  • Rough pricing, which is the question nobody asks until minute twenty-five.
  • What you need from them, so they arrive with it.

The call gets shorter and better

A prospect who arrives knowing your process and roughly what it costs uses the call to talk about their situation, which is the only part you cannot automate.

Thirty minutes becomes fifteen, and the fifteen is worth more than the thirty was.

It also filters, which is the larger saving

Some of those calls were never going to become work — wrong budget, wrong scope, wrong fit. You discover that at minute twenty-five, having spent the whole slot.

Sending the material first means some of those people decline the call themselves. That is not a lost opportunity; it is the cheapest possible outcome for both of you.

Frequently asked questions

How do I reduce discovery calls?
Split the call into what you say and what you learn. The saying half -- your process, past work, rough pricing, what you need from them -- is identical every time and can be sent beforehand. The learning half is why the call exists.
Will sending material first lose me meetings?
It loses the meetings that were never going to become work, which you would otherwise discover at minute twenty-five having spent the slot. That is the cheapest possible outcome for both sides.
What should I send before a discovery call?
How you work, something showing what you have done before, rough pricing, and what you need from them. Rough pricing especially -- it is the question nobody asks until late and the one that most often ends the conversation.
