Screenshots in Sales Emails: Show the Feature, Not the Brochure

September 23, 2026

A prospect asks on a call whether the product can do something specific. The follow-up email that includes a screenshot of exactly that -- their use case, the actual screen, an arrow on the control -- is read differently from one that attaches the deck. It is evidence rather than assertion.

What to capture

  • The specific screen that answers the question they asked, not the dashboard overview.
  • With their situation in it, if the product lets you name things -- a project called after their company, a field with their kind of data.
  • Cropped tight, so the email shows one idea at a readable size rather than a full screen at thumbnail size.

Marking it up without making it a brochure

One box or one arrow on the thing they asked about. No callout text unless the control’s name is unclear. Demorta’s screenshot tool does the capture and the box in the browser and copies the result to the clipboard, so it goes straight into the email. Try the free screenshot tool.

Where the screenshot stops working

Screenshots are single answers. When the prospect wants to understand a flow -- "how would my team actually set this up" -- a screenshot per step turns the email into a scroll. That is the point to send an interactive demo of the flow instead: they click through the real screens, at their pace, and you see which step they stopped on.

A small library

Most questions recur. Keep the ten screenshots that answer the ten common ones, named by question, and the follow-up email becomes a paste. Retake them when the interface changes; nothing dates an email like last year’s navigation.

Frequently asked questions

Should I put screenshots in sales emails?
Yes, when they answer a specific question the prospect asked. A tight capture of the exact feature with one mark on it reads as evidence; a marketing graphic reads as a brochure.
How do I make a sales screenshot look professional?
Crop to the feature, use one colour for one mark, and use demo data that resembles the prospect’s. Avoid text on the image; put the explanation in the email.
When should I send a demo instead of screenshots?
When the question is about a flow rather than a feature. An interactive demo shows the sequence and tells you where the prospect stopped; screenshots cannot do either.
