Managing Demos Across Many Clients

August 21, 2026

An agency hits the organisation problem far sooner than a product company does. Five clients with three demos each is fifteen demos in a single list before the end of a quarter.

Worth knowing up front: Demorta has no client folders, sub-workspaces or tags. Everything lives in one workspace, and naming does the work.

A naming convention that survives

Client first, then placement, then content: "Acme — Homepage — Fleet overview". Client first because that is how an agency searches; placement second because that is what you need when a client asks which demo is live where.

Prefix retired demos with "OLD —" rather than deleting them. A deleted demo breaks every link already sent, and on client work those links are in places you cannot audit.

The better structural answer

Where you can, have each client own their own account with you added as a seat. That gives genuine separation, keeps their demos with them when the engagement ends, and removes the question of whose asset it is.

It costs more across a portfolio and it is the arrangement that causes the fewest problems. Where a client will not hold a subscription, your own workspace plus naming is the fallback.

Keep an inventory of links

  • Demo, client, placement, URL -- one row each, updated when you publish.
  • Who owns the account for that client, so an offboarding does not orphan anything.
  • Last reviewed date, which is the column that actually prevents rot.
  • A spreadsheet is enough. The tool tells you what exists, never where it is embedded.

Review on a cadence, per client

A quarterly pass — open every live demo for that client, click through, re-record anything that has drifted — is a small recurring task and a legitimate line on a retainer.

Without a fixed date it does not happen, and the first person to notice a stale client demo is a prospect of theirs.

What the plans mean at agency scale

Free covers 5 demos, which is one client. Starter at $15.99 is unlimited demos on one seat. Growth at $39.99 adds a second seat plus narration, lead capture and drop-off analytics. Business at $99.99 is unlimited seats, which is the one that fits a team all producing client work.

Steps and viewers are uncapped on every plan, so a client demo that gets popular never costs more — which matters when you have no control over their traffic.

Frequently asked questions

Does Demorta have folders or sub-accounts for agency clients?
No. There are no client folders, sub-workspaces or tags -- every demo lives in one workspace list, organised by naming. Where possible, have each client own their own account with the agency added as a seat, which gives real separation.
How should an agency name client demos?
Client first, then placement, then content: "Acme - Homepage - Fleet overview". Client first is how an agency searches, and placement second answers the question clients actually ask, which is which demo is live where.
