Should You Gate Your Demo Behind a Form?

A gate in front of a demo is the highest-leverage decision in this whole area, and it is usually made by default rather than deliberately.

The honest framing is a trade, not a best practice: you are exchanging most of your viewers for the contact details of a few.

What a gate actually costs

A large share of people who would have watched will not fill in a form to see something they have not yet decided they want. That is not laziness; they are correctly protecting themselves from a sales sequence.

You also lose the ones who would have shared it. A gated demo does not get forwarded to a colleague, which removes the mechanism by which a demo reaches a buying committee you never met.

When gating is right anyway

  • High contract values. If a customer is worth five figures, a smaller number of identified leads beats a larger number of anonymous views.
  • A sales team with capacity. A lead nobody follows up is worth nothing, and gating only pays if someone works the list.
  • Genuinely sensitive content. A demo showing an unreleased feature or a specific customer configuration.
  • Not for a homepage demo. Gating the thing that explains what you do is closing the door and putting a sign on it.

The hybrid that usually wins

Show the first several steps ungated, then ask. The viewer has seen enough to know whether they care, so the ones who fill in the form are self-selected and materially warmer than a cold form-fill.

The variant worth testing is asking at the end rather than mid-way -- "want this sent to you, or a longer version?" -- which captures intent without interrupting.

Make the gate honest

  • Ask for one field. Work email. Every additional field costs conversions and buys data you can enrich anyway.
  • Say what happens next, plainly, including whether a human will email them.
  • Do not ask for a phone number unless you will genuinely call, and say that you will.
  • Let them skip it if the demo is also your marketing asset. A skippable gate still collects from people who wanted to be contacted.

How to decide with your own numbers

Run it ungated for a month and count what happened: views, signups, replies. Then gate it for a month and count leads and what those leads became.

Compare on closed revenue rather than lead count, because gating always wins on lead count and frequently loses on everything downstream.
