A Product Demo Template You Can Actually Use

Most people stall on structure rather than on recording. This is a structure that works for the majority of B2B software, with the reasoning for each step so you can tell when to break it.

Six steps. Adapt rather than follow it literally.

The template

  • Step 1 — The populated screen. Not a login, not an empty state. The product with realistic data, so the viewer immediately sees what it is. Caption: what this screen is for, in their words.
  • Step 2 — The problem in view. Point at the thing that is currently painful: the overdue item, the manual total, the missing record. Caption names the pain.
  • Step 3 — The action. One click that starts solving it. Caption says what is about to happen.
  • Step 4 — The work being done. Whatever your product does that a spreadsheet cannot. This is the step to zoom into.
  • Step 5 — The outcome. The finished state: the report, the sent invoice, the cleared queue. Caption states the benefit as a fact, not a claim.
  • Step 6 — The next step. Where they go now. One option, with the friction named: "Start free, no card, about five minutes."

What to write on each caption

One line, under about twelve words, saying what the screen means rather than what it is. Use the words your buyers use, which are in your support inbox and your sales calls rather than on your homepage.

If a caption needs two sentences of setup, the step before it is missing.

When to break the template

  • Integration products show both systems instead: a record created in one, appearing in the other.
  • Workflow products show the handoffs and say where time passes -- "two days later, the manager approves".
  • Analytics products show the dashboard once, then one figure per step.
  • Anything with an angry-customer moment should show that instead of the happy path, because that is what the buyer is actually evaluating.

Before you publish

Read only the captions, in order, with the screens hidden. If that sequence still tells a coherent story, the demo works — including for someone using a screen reader, since the screenshots are images with no text of their own.

Then open it on a phone and check every step is readable.
