Screen recording tools are excellent and most teams already have one. The honest comparison starts by admitting that a recording is faster to make than anything else in this article.

What you trade for that speed is worth knowing before you make it your default.

When a recording is the right call

  • One person, one question, right now. A specific answer to a specific customer beats any reusable asset.
  • Anything with motion -- a drag, an animation, a live cursor.
  • Your face and voice, which build trust a caption cannot.
  • Something you will send once and never think about again.

What you give up

Skipping. A viewer who wants to check one screen has to scrub a timeline blindly, and most will not bother. That cost rises with length and with how senior the viewer is.

And currency: a recording is frozen. Change one screen in your product and the whole video is subtly wrong, with no way to fix it except re-recording the narration around the edit.

The measurement difference

A video tells you how far along a timeline people got. A demo tells you which step they stopped on — and a step is a thing you can fix, where a timestamp is not.

For a one-off send that does not matter. For an asset on your pricing page it is most of the value.

A reasonable division

Recordings for one-to-one answers, motion, and anything disposable. Demos for anything reused, embedded, or sent into a deal that will pass through several hands.

Most teams end up with both, and the mistake is using a recording where an asset was needed — a nine-minute video on a landing page is the usual symptom.
