How to Storyboard a Product Demo

August 22, 2026

Most demos get recorded twice: once to find out what the demo should have been, and once properly.

A storyboard is what removes the first recording. It does not need software or artistic ability — a list of lines in a text file is enough.

Write the captions first, before recording anything

One line per step, in order, saying what the viewer should understand at that point. Six lines for a six-step demo.

Reading those lines back tells you immediately whether the demo has an argument or is a tour. That is the whole benefit, and it happens before you have invested any recording time.

Then work out what screen each line needs

  • Which screen shows this, and in what state.
  • What data has to exist for it to make sense -- this is what tells you how to seed the demo account.
  • What has to be clicked to get there from the previous step.
  • Whether it needs a zoom, which is true of any step whose point is a specific number or control.

Find the gaps on paper

Two common ones surface immediately. A caption that needs a sentence of setup means a step is missing before it. Two captions saying nearly the same thing means one step should go.

Both are trivial to fix in a text file and tedious to fix after recording, because a demo is a sequence and removing one step shifts everything around it.

Set up the account to match

The storyboard tells you exactly what data the demo needs — an overdue invoice, a vehicle losing money, a failed run. Seed those into the demo account before recording rather than discovering mid-take that the story has nothing to point at.

This is the step that most often turns a two-hour session into a twenty-minute one.

Frequently asked questions

How do you storyboard a product demo?
Write the captions first -- one line per step, in order, saying what the viewer should understand -- then work out which screen and what data each line needs. Reading the lines back tells you whether the demo has an argument before you record anything.
Do I need special software to storyboard a demo?
No. A list of lines in a text file is enough. The value is in seeing the sequence written down, not in the tool.
What problems does storyboarding catch?
A caption needing a sentence of setup means a step is missing before it, and two captions saying nearly the same thing means one step should go. Both are trivial to fix on paper and tedious after recording.
