How to Annotate a Screenshot for Free: Arrows, Boxes, Blur and Text

A screenshot on its own says "look at this". An annotated one says "look here, this is what it means, and ignore the rest". The second is worth sending; the first usually gets a reply asking what they are supposed to be looking at.

You do not need a design tool for this. Four marks cover nearly every case, and the discipline is in using few of them.

The four marks and what each is for

  • Box -- "this region". The default. Draw it slightly larger than the thing, never touching the text inside it.
  • Arrow -- "this exact point", or "from here to there". Start it in empty space and end it on the target, not the other way round.
  • Blur -- "this is not for you". Names, emails, amounts, account numbers. Pixelate rather than smudge; a soft blur can be undone by anyone patient.
  • Text -- one short label, not a paragraph. If it needs a sentence, put the sentence in the message and keep the label to three words.

Rules that keep it readable

One colour for everything on the image. Red is conventional and reads instantly; the moment you add a second colour the reader starts wondering whether it means something.

Fewer marks than you think. A screenshot with one box is a screenshot with one point. Three boxes and two arrows is a puzzle. If you need to show four things, send four screenshots or make a walkthrough.

Crop first. Everything you cut away is attention returned to what is left, and a crop is the one annotation nobody has to interpret.
