A caption is one line under about twelve words. It is also most of what separates a demo from a slideshow, because it carries the meaning the screenshot cannot.
Each pair below is the weak version and the one worth using. Adapt the nouns; the shape is the point.
Opening a demo
- Weak: "The dashboard." → **Better:** "Everything overdue, across every project, in one view."
- Weak: "Welcome to Acme." → **Better:** "This is what Monday morning looks like with it running."
- Weak: "Here is the main screen." → **Better:** "Twelve vehicles, and one of them lost money last month."
- The first caption should give a reason to watch the second. Naming the screen gives none.
Pointing at the problem
- Weak: "Filter options." → **Better:** "Narrow to the two accounts that are actually at risk."
- Weak: "The reports section." → **Better:** "The report that currently takes a spreadsheet and an afternoon."
- Weak: "Notifications." → **Better:** "You would have known about this on Tuesday, not at month end."
The action step
- Weak: "Click here to continue." → **Better:** "One click generates the contract and sends it for signature."
- Weak: "Press Save." → **Better:** "Saved, and everyone on the job sees it immediately."
- Weak: "Select an option." → **Better:** "Pick the plan, and the pricing updates for every line."
- Never write "click here". The viewer can see the button; what they cannot see is what it does.
The outcome step
- Weak: "Invoice created." → **Better:** "Invoice sent, chased automatically, reconciled when it lands."
- Weak: "The finished report." → **Better:** "The board pack, in about forty seconds."
- Weak: "All done." → **Better:** "That is the whole job. Nothing was typed twice."
The test that catches a bad caption
Read only the captions, in order, with the screens hidden. If that sequence still tells a coherent story, the captions are doing their job — and the demo also works for a viewer using a screen reader, since the screenshots are images with no text of their own.
If reading them alone tells you nothing, they are labels rather than captions.
