Most of this category was built for enterprise sales organisations: demo libraries, per-rep personalisation, CRM sync, approval workflows, SSO.
If you are two people and demos are one of eleven things you own, almost none of that helps, and much of it is what you are paying for.
What genuinely matters at your size
- Time from opening the tool to a published demo. If a demo takes an afternoon, you will make one and never a second. Under thirty minutes is the difference between a habit and an abandoned subscription.
- Editing without re-recording. Your product changes and you need to replace one screen, not the whole demo.
- Analytics on the plan you can afford. Without it you cannot tell whether any of this works, and at your scale you cannot afford to guess.
- A share link and an embed that just work, including in whatever your marketing site is built with.
- Redaction, because you will record against real data at some point even if you know better.
What you can safely ignore
- CRM integration. Useful when twelve reps each send demos. With two people, the analytics page is faster than a Salesforce field.
- Approval workflows. You are the approver.
- Demo libraries and templates. Built for organising hundreds of demos. You will have four.
- SSO. A genuine enterprise requirement and completely irrelevant below about twenty people.
- Per-rep personalisation at scale. Personalising a link for one important prospect is worth it; the machinery for doing it across a sales floor is not.
The trap: buying for the team you plan to become
It is tempting to buy the tier that supports the sales team you intend to hire. Do not. You will pay for eighteen months of unused capability, and by the time you actually have that team the market will have changed and you will reassess anyway.
Buy for this quarter. Switching costs are real but modest, and a re-recording exercise in a year is cheaper than a year of the wrong plan.
The question that filters the market quickly
Does the pricing page show a price, or does it show "Contact us"? A vendor who will not publish a number has decided their buyer is procurement, not you. That is a legitimate business, and it is a signal you are not the customer.
The same goes for annual-only billing. Committing twelve months to a tool you have used for a week is a bad trade at any size and a worse one when the budget is yours.
A reasonable way to shortlist
Pick two tools with a real free tier. Record the same demo of your own product in both, in one sitting. You will know within an hour which one you will actually keep using, and that is a far better signal than any feature comparison.
Look for whether the awkward parts of your product survived capture -- the data table, the modal, the chart -- because that is where tools differ and where feature lists never tell you anything.
Frequently asked questions
- What should a small team look for in demo software?
- Speed from opening the tool to a published demo, the ability to edit one screen without re-recording, analytics included on an affordable plan, share links and embeds that work in your site, and reliable redaction. Enterprise features like SSO, CRM sync and approval workflows do not matter below roughly twenty people.
- Should I buy a bigger plan to grow into?
- No. You will pay for many months of unused capability and will reassess by the time you actually need it. Buy for this quarter; a re-recording exercise later is cheaper than a year on the wrong plan.
- How do I shortlist demo tools quickly?
- Pick two with genuine free tiers and record the same demo of your own product in both in one sitting. Check whether the awkward parts -- data tables, modals, charts -- survived capture. Feature lists never tell you that, and it is where tools actually differ.
