Plenty of teams demo on a real production account because it is the only one with convincing data in it. It works right up until a real customer name appears on a shared screen, and then it is an incident with witnesses.
A dedicated demo environment is not difficult. It is mostly a decision to spend an afternoon on it before you need it.
The goal is data that looks real and is entirely invented. Plausible company names, believable numbers, enough volume that the screen looks used rather than staged.
Avoid the two failure modes: obviously fake (Test Customer 1, asdf) undermines credibility, while real-looking-because-it-is-real is the risk you are removing. Invented but plausible is the target.
A demo account rots. Dates drift into the past, sequences fall out of order, and a dashboard whose latest activity is eight months old quietly signals abandonment.
Either seed it with relative dates, or refresh it on a calendar reminder. Whichever you pick, decide now -- nobody notices a stale demo account until a prospect does.
A captured interactive demo has a specific safety advantage: it is a fixed set of screens. Nothing can change mid-presentation, no live query can surface an unexpected record, and you can review every frame before anyone sees it.
It is also the only format where you can redact after the fact -- blur a region on a captured screen and the underlying pixels are gone, rather than hidden behind an overlay someone could remove.
