Building a Demo That Survives Being Forwarded

August 31, 2026

In any purchase with more than one stakeholder, the demo you send gets passed on. It arrives at a finance lead or a security reviewer with no context, no call, and none of the framing you provided originally.

Most demos are built for the first recipient and quietly fail at the second, which is where the decision actually happens.

A link like this one — forward it and it still works.

Assume no context at all

The forwarded viewer does not know your company, why this was sent, or what problem it addresses. A demo opening mid-workflow is meaningless to them.

One cover sentence naming the problem makes the whole thing legible to someone who arrived with nothing.

Make it forwardable on purpose

  • A link, not an attachment, since attachments do not survive a forward.
  • No login, because the second viewer will not create an account to see it.
  • Short enough to watch in a meeting, which is where it will be opened.
  • A title that makes sense in an inbox, not "Demo v3 final".

Record more than one, and send the right one

The technical reviewer, the finance approver and the end user have different questions, and one demo answering all three is long enough to lose all three.

Two or three short demos let the champion forward the relevant one — which also makes your champion look organised, and a champion who looks good internally sells harder than you can.

Frequently asked questions

How do I make a demo work for people I have not spoken to?
Assume no context. Open with one cover sentence naming the problem, keep it short enough to watch inside a meeting, and make sure it needs no login — the second viewer will not create an account to see something a colleague forwarded.
Should I send one demo or several?
Several short ones. A technical reviewer, a finance approver and an end user have different questions, and a single demo answering all three is long enough to lose all three. Let your champion forward the relevant one.
Why does a link work better than an attachment?
Attachments get stripped, blocked or lost on the second forward, and they cannot be updated after sending. A link survives forwarding, works on a phone in a meeting, and lets you fix a mistake without resending anything.
